Privacy Policy

This policy explains how RoleKeep, an independently operated beta service based in Ohio, United States, handles information when you use the website and private job-search workspace.

Information we collect

We collect your sign-in email, product records you create, search preferences, feedback you submit, and payment status supplied by our payment processor. Product records may include companies, roles, contacts, dates, notes, message drafts, sourced lead suggestions, and suggestions extracted from job-search emails found through an optional Gmail connection or emails you choose to forward. Payment-card details are handled by Stripe and are not stored by RoleKeep.

How information is used

We use your information to provide, secure, support, and improve RoleKeep, process access purchases, and respond to feedback. When you use the optional email assistant, candidate job-search messages are analyzed to propose a tracker update or editable draft. When you use Daily Leads, your search preferences and limited pipeline fields are used to research public sources. RoleKeep does not save the raw email body in its product database after analysis. We do not sell personal information, use Gmail information for advertising, or use it to train general-purpose AI models. Suggestions are not applied and outreach drafts are never sent automatically.

Service providers

RoleKeep relies on service providers that process limited information on its behalf: Google for an optional read-only Gmail connection, Supabase for authentication and database services, Vercel for website hosting, Stripe for payment processing, Resend for transactional and forwarded email, and OpenAI for optional email classification and draft preparation. These providers may retain or process information under their own terms and privacy practices.

Security and account privacy

Database access rules restrict signed-in customers to their own application records, drafts, profile, and feedback. No online service can guarantee absolute security, so use care when adding sensitive notes.

Retention, exports, and deletion

We keep account information while your account remains open and as reasonably needed to operate the service, comply with law, and resolve disputes. You may export your information or permanently delete your account from Settings. Account deletion removes the product records linked to the account, subject to limited records a service provider or law may require us to retain.

Email assistant

RoleKeep sends transactional sign-in messages. If you connect Gmail, RoleKeep receives read-only access and uses a narrow search to retrieve candidate job-search messages from the most recent 30 days. RoleKeep cannot send, delete, or edit your Gmail messages. An encrypted authorization token is stored so scheduled checks can continue until you disconnect. You may instead forward individual messages to your private RoleKeep address. Extracted suggestions may be incomplete or incorrect, so you must review every proposed record and recipient before applying or using it.

AI-assisted lead research

If you enable Daily Leads, RoleKeep sends your search preferences and limited pipeline fields such as company, role, and status to its research provider to search public web sources. Private notes, draft bodies, and sign-in credentials are not included in that request. Suggested jobs, people, source links, and public contact details remain private to your account until you save or dismiss them.
